So you’re a visionary. Your mind is constantly swirling with innovative concepts and fresh business ideas. Scribbled-on napkins fill your pockets and sticky notes cover your mirror, the modus operandi of a true idea generator. You can see the bigger picture.

 

Scattered random notes may support your imagination, but they are not the best way to run a business. Your challenge is taking those amazing ideas and finding a logical approach to bring them to fruition, and you are not alone.

 

Most creative entrepreneurs find themselves getting tangled up in the “running the business” piece, the daily required tasks such as marketing, bookkeeping, and client relationship management.  Dream time is crucial, but so is organizing your business, and finding the sweet spot here is the goal.

 

You can’t simultaneously have your head up in the clouds where great ideas are born and have your feet on the ground scrambling to do all the things you need to do to keep a business going. Systems and processes are the means to carry out necessary business functions, such as lead generation, sales, customer relations, staffing, and any other tasks specific to your company’s needs. You might use Quickbooks for bookkeeping, Dubsado for your client relationship management, Trello for lists, Slack for team projects. These are just some of the wonderful programs available to keep your business in order.

 

You need the support of systems and processes and a plan to implement them. That means scheduling time to work ON your business, not only IN your business.

The good thing is that visionaries also tend to be creative problem solvers, a skill they can learn to funnel into managing their day to day business tasks. Once you have these strategies in place, you will have more time to do what you love - focus on the ideas.

 

How do you put this “Systems” thing into action, you ask?

 

If you want to scale your business, but you can’t because you are spinning your wheels, systems will allow you to simplify, streamline and delegate the most important tasks.

 

Schedule time on your calendar initially to get started, then every week to maintain what systems you decide to utilize.

 

The first step is to record your recurring daily tasks that keep your business going. Tasks will fall under three general categories: sales and marketing, operations, and finance.

 

Separate that list of tasks into daily, weekly, monthly, quarterly, and annually. Some people find it better to work from longer term goals and plan in reverse.

 

What about non-recurring tasks, you say?

 

You can track non-recurring tasks elsewhere, in a program that tracks To-Dos, or by hand in a notebook, whichever works better for you. In fact, when choosing systems you want to choose the ones that work best for you, and they may not be the same as someone else’s. So eyes on your own paper and focus on what your business needs to grow.
